Circulio.com is not a transactional website. You cannot buy or rent anything here. The personal information we collect falls into two categories: information you actively give us by filling in a form, and information collected automatically when you browse the site.
This policy explains both, what we do with the data, and what your rights are — whether you are based in the UK, the European Union or Canada.
Information you give us
When you submit a form on circulio.com — a contact enquiry, a demo request, or any other form — we collect the information you provide. Depending on the form, this may include:
- Your name
- Your company name
- Your work email address
- Your phone number
- The message or details you choose to share
We collect this information solely to respond to your enquiry or to prepare a demonstration of the Circulio platform. We do not use it for any other purpose without telling you first, and we do not add you to mailing lists without your explicit consent.
Information collected automatically
When you visit circulio.com, certain information is collected automatically by the tools we use to operate and improve the site. Both HubSpot and Google Analytics use cookies that we consider essential to the basic functioning of the site. Detailed information about the specific cookies used is available via the cookie preferences notice displayed when you first visit the site.
HubSpot — tracking, forms and CTAs
We use HubSpot across the site for three purposes:
Page tracking. HubSpot's tracking code records which pages you visit and how you navigate the site. As part of this, HubSpot logs your IP address and, where it is able to make the association, identifies the company domain your IP address is linked to. This means we may be able to see that a visitor from a particular company or organisation has visited certain pages, even if they have not submitted a form. We use this to understand which businesses are engaging with our content. We do not use it to contact individuals who have not reached out to us directly.
Forms. When you submit a HubSpot-embedded form, your details are stored in HubSpot's CRM. HubSpot processes this data on servers within the EU and complies with UK GDPR, EU GDPR and applicable data protection law. You can read HubSpot's privacy policy at legal.hubspot.com/privacy-policy.
CTAs. Some buttons and calls to action on the site are tracked by HubSpot to record click activity. This helps us understand which content is most useful to visitors.
The lawful basis for HubSpot tracking is legitimate interest — specifically, our interest in understanding how the site is used and which businesses are engaging with our platform, balanced against your right to privacy. You can opt out of HubSpot tracking by visiting hubspot.com/data-privacy/cookie-opt-out.
Google Analytics
We use Google Analytics to understand aggregated, anonymised patterns in how visitors use the site — which pages are visited, how long people spend on them, and how they arrive. This data does not identify you personally.
You can opt out of Google cookies using the Google Analytics Opt-out Browser Add-on.
We do not use advertising cookies or third-party tracking pixels.
What we do not do
We do not sell your data. We do not share it with third parties for their own marketing purposes. We do not use your information to serve you advertising on other platforms.
How long we keep your data
Form submission data is retained in HubSpot for as long as it is relevant to an active or potential business relationship. If you ask us to delete your data, we will do so promptly and confirm when it has been removed.
Your rights
Depending on where you are based, you have rights under the following frameworks:
- UK residents — UK GDPR and the Data Protection Act 2018
- EU residents — EU GDPR (Regulation 2016/679)
- Canadian residents — PIPEDA (Personal Information Protection and Electronic Documents Act)
In all cases, you have the right to:
- Know what personal data we hold about you
- Request a copy of that data
- Ask us to correct inaccurate data
- Ask us to delete your data
- Object to or restrict how we are processing your data
- Withdraw consent at any time where consent is the basis for processing

EU residents may complain to the data protection authority in their member state.

International data transfers
Circulio Solutions Limited is based in the UK. HubSpot processes data within the EU. Google Analytics data is processed by Google, which maintains data centres globally. Where data is transferred outside the UK or EU, we rely on standard contractual clauses or other lawful transfer mechanisms as required by applicable law.
Changes to this policy
If we make material changes to this policy we will update the date at the top of this page. We will not reduce your rights without notice.
