Loan & Try Before You Buy

Try Before You Buy and Manufacturer Loan Programmes

Circulio provides the infrastructure for Try Before You Buy programmes, manufacturer evaluation loans and free-loan channels with controlled access, real-time availability, automated returns management and sales conversion incentivisation and tracking. It is a core pillar of the platform, proven with Canon, FujiFilm, Lumix, Sony, 4FILL and TryTheKit.

What it is

First Hand Experience
Increases Sales Conversion

Try Before You Buy on Circulio is not a single fixed model. It is infrastructure that supports any evaluation programme: free loan, paid trial, short-term hire ahead of purchase, or structured manufacturer test drive. The commercial terms are the business's decision. The platform handles the rest.

Try Before You Buy is a commercial model where rental or loan is used as a low-friction way for customers to evaluate equipment before deciding to purchase. Businesses implement it differently depending on product category, customer type and sales strategy.

What they all have in common is an operational need: a pool of trial assets that must be managed with the same precision as commercial inventory, an access control layer that defines who can participate, a return workflow that brings assets back on time and in condition, a sales conversion model, and conversion tracking.

Programme types Circulio supports
  • Free manufacturer loan: time-limited access for journalists, press, trade partners or staff, at no charge
  • Paid trial: customers hire at a standard rate with the option to convert to purchase
  • Test drive campaign: brand-managed programmes with defined eligibility, duration and return logistics
  • Evaluation loan to trade: HCP, dealer or partner evaluation programmes ahead of stocking decisions
  • University and Department loans: free student equipment access, with paid external access on the same asset pool
  • White-label brand programmes: manufacturer-branded channels operating independently from the host's commercial rental
Canon

Test Drive programme and B2B loan channel; public consumer-facing and private trade deployments running simultaneously on the same platform as Hireacamera commercial rental.

FujiFilm

FujiFilm House of Photography, Instax Loan and Pro Loan channels; three separately branded Fujifilm programmes operating with multiple asset pools.

Panasonic | Lumix

Lumix Loan programme; a dedicated channel for Lumix try-before-you-buy evaluation loans to photographers and content creators.

TryTheKit

Multi-manufacturer Try Before You Buy marketplace; a publicly accessible channel through which consumers can trial equipment from multiple brands before purchase.

Manufacturer Programmes
Running At Scale Today

These are not pilots or proofs of concept. They are live, publicly verifiable programmes that have been operating on Circulio's infrastructure for years. The architecture that makes them possible — independent branded channels on a shared asset pool — is available to every Circulio customer.

Access control

See Only What
You're Meant To See

Loan and trial programmes are often limited to a defined audience, for example press, trade partners, dealers, HCPs, students, or staff. The channel needs to enforce that without the sales operations team having to manually approve every request.

How multi-channel architecture works →

Every loan or trial programme on Circulio runs as its own Channel, independently configured from the main commercial rental store. The channel has its own URL (which can be public, private or SSO), its own access rules, its own booking workflow and its own communications templates.

Access control options
  • Private channels accessible only to customers who have been given the URL or an invitation
  • Account approval workflows where customers register and wait for staff approval before booking
  • Membership or customer type restrictions, where only customers in a defined group can book
  • Competency gated, where equipment is visible to all registered users but bookable only by those in an approved access group
  • Campaign-based eligibility, where access is active only during a defined campaign window
What each channel can configure independently
  • Trial duration: minimum and maximum loan periods
  • Pricing: free, time-bound free period plus paid extra, subsidised or standard rate
  • Deposits & security: held, waived or damage-waiver-only
  • Product visibility: a curated subset of the full catalogue
  • Communications: branded emails and documents specific to the programme
  • Accounting: separate Xero account code mappings per Channel

The commercial value of a Try Before You Buy programme depends entirely on two things: assets going out and coming back efficiently to keep fleet size down, and the rental-to-sale conversion being a closed-loop. A programme managed with spreadsheets and emails produces neither reliably.

Return management
  • Return dates are part of the booking record from the moment the loan is confirmed
  • Automated reminders sent at configurable intervals before the return date
  • Overdue assets appear on the dashboard immediately without manual checking
  • Condition check and photographic evidence captured at check-in, with approval and customer communication workflows built-in
  • Damage charges and deposit deductions processed via Stripe and posted to Xero
Conversion tracking
  • Live view of every trial in progress, every asset out and every return
  • Sale conversion recorded when a trial leads to proven purchase
  • Assets re-enter real-time availability automatically
  • Programme-level reporting on utilisation and sales conversion rates

Assets Returned
Sales Converted

This is the operational model that makes Try Before You Buy scalable. Not one trial managed case by case, but a structured programme running across dozens of accounts simultaneously, with virtually no administrative overhead per transaction.

One platform, multiple models

Loan Programmes &
Commercial Rental

Assets can be shared across programmes, or they can be ring-fenced for a specific programme or customer-type. A shared asset committed to a loan programme is unavailable on the commercial channel for that period, with no manual cross-checking required. All channels calculate availability from all asset pools and relevant warehouses in real time.

How real-time availability works →

Manufacturers and rental operators looking to run loan programmes face practical challenges. How are loan assets kept separate from other commercial rental assets and programmes? Trying to keep them in sync is one reason organisations feel unable to run loan programmes at scale.

On Circulio, there is no asset management problem because everything is on one system. Every channel (the commercial store, the manufacturer loan programme, the press fleet, the trade evaluation channel) draws from its designated pool, and every pool can sit in its own physical or virtual warehouse. Availability is calculated in real time across all of them simultaneously.

What coexistence looks like in practice
  • A camera body dedicated to the Panasonic Lumix Loan channel is never available on Hireacamera
  • A loan asset shared by two or more channels re-enters availability on all its channels simultaneously
  • The operations team sees all channels from one console with no switching between systems
  • Revenue from commercial rental and loan programme activity are reported separately per channel
  • Xero account code mappings keep commercial income and programme activity financially distinct

Frequently Asked Questions

Common questions about Try Before You Buy on Circulio

What is a Try Before You Buy programme on Circulio?

A Try Before You Buy programme on Circulio is a structured channel through which customers rent or loan equipment before deciding to purchase. The channel has its own access controls, pricing, trial period rules and booking workflow. Conversion from trial to sale is tracked within the platform. Circulio supports free-loan, paid-trial and rental-to-purchase models.

Does Circulio support manufacturer loan programmes?

Yes. Circulio powers public and private manufacturer loan channels including Canon Test Drive, Lumix Loan, Fujifilm House of Photography and TryTheKit. These operate as independent branded channels on the same platform as commercial rental, drawing from a shared asset pool.

Can a Try Before You Buy programme run alongside commercial rental on the same platform?

Yes. Both models draw from the same asset pool with availability calculated in real time across all channels simultaneously. An asset committed to a loan programme is unavailable on the commercial channel for that period, with no manual cross-checking required.

Can Circulio restrict which customers can access a loan programme?

Yes. Loan channels can be configured as private, with access controlled by customer type, account approval, membership status or invitation. Access rules are enforced automatically at the booking level — eligible customers see and can book the programme; others do not.

What sectors use Try Before You Buy on Circulio?

Consumer electronics manufacturers, camera and lens brands, pro audio, MedTech and medical device distributors, and education institutions all use Circulio for loan and Try Before You Buy programmes. Each sector has distinct access rules, trial periods and commercial objectives, all supported within the same platform architecture.

Is Try Before You Buy always a rental-credit model?

No. Try Before You Buy on Circulio is the infrastructure for evaluation through rental or loan prior to a purchase decision. Whether that trial is free, paid, or carries a rental credit against purchase is a commercial policy decision for the business running the programme — not something the platform assumes or requires.
